A single, cloud-native appointment platform replaces 158 independent country systems. Every applicant registers once — verified via OTP and passport number — and their profile is valid globally. Booking slots are released into a real-time virtual waiting room, eliminating bot-driven instant hoarding.

Dynamic QR codes are issued per booking, valid only on appointment day, single-use and cryptographically signed. Automated reminders reduce no-shows. Demand forecasting predicts peak periods per centre.

Passive UHF RFID tags are affixed to each passport upon arrival at VFS. Fixed portal readers at collection desks and embassy entry/exit points scan entire batches simultaneously — reducing the 6–7 hour daily barcode process to under 30 minutes.

Every movement is tracked: VFS IN, Embassy IN, Embassy OUT, VFS OUT. The chain of custody is logged immutably, with staff ID and timestamp at each stage. Applicants receive automatic SMS notification when their passport is ready for collection.
